Background

This Data Privacy Policy is to inform M3 User Association (M3UA) employees, members, contractors, partners and third parties how the M3UA stores and processes personal information.

M3UA will apply protective measures when handling Personal Data under its control or in its possession, both from a regulatory compliance and commercial perspective.  M3UA takes the privacy of information it holds about individuals very seriously.  This Policy advises on how we use your information, and how it is managed and stored.

How We Use Your Information

Personal information that you supply to us will only be used for:

  • the purposes of processing your application for a membership;
  • if successful, managing your membership activities;
  • matching your details to any future suitable events you may be interested in;
  • contacting you about information or events; and
  • undertaking surveys about events and solutions

The above, taken together, represent the “Purposes”.

In order to process your application (and, if successful, manage your membership), we may need to pass your name, email and phone details to the M3UA’s nominated suppliers who assist us in this purpose.

Your personal information will be processed by M3UA within the European Economic Area (EEA). In all circumstances, wherever your personal data is stored and processed, it will be processed in accordance with all applicable laws.

By providing personal data to M3UA, you are giving your express consent to M3UA to process that personal data and to transfer it to the M3UA’s nominated suppliers for the Purposes.

We will treat all personal data as private and confidential except where we are permitted or required by law to make a disclosure or where the disclosure is made with your consent or is necessary for the Purposes

Declaration

You agree that the personal data which you provide to M3UA is in all respects true and accurate and is not in any respect misleading or deceptive.  You agree to inform M3UA in writing if any of the information you have provided is no longer accurate during the period in which M3UA retains your personal data.

How Long Will M3UA Keep Your Data For?

We will keep the data about you for as long as you remain an M3UA member, if your membership lapses, we will retain your data as we do for non-members.

For non-members we will retain your data until you notify us you wish to opt-out of our communications.  This is regularly offered through our email engagement with you.

How Can You Access Your Information?

You can review your information online using the links provided in our communications with you and we recommend that you do so regularly to ensure it is accurate.  You also have a right to request a copy of the information that we hold about you.  If you would like a copy of some or all of the personal information we hold about you, please email or write to us at the addresses set out below.  We may make a small charge for this service.

We want to make sure that your personal information is accurate and up to date.  You may ask us to correct or remove information that you think is inaccurate.

How Can You Get Your Details Removed from M3UA’s Systems?

You may request the removal of your personal data from M3UA systems at any time by emailing [email protected] with “Remove my Details” in the subject title.  We may not always be able to comply with your request immediately – for example, if we need to retain your personal information for a certain period of time for legal reasons, but in such a situation, we will always ensure that you are not contacted by M3UA again.

How Does M3UA Protect Your Information?

M3UA operates an information security management system compliant to the ISO 27001 standard.

If you are provided with a user id and/or password by M3UA, you are responsible for keeping it secret.  You agree to immediately notify M3UA of any unauthorised use of your user id and/or password. Any breach of the above which results in losses to either M3UA or our Clients may result in legal action being taken against the individual concerned. Your account information is password-protected for your own privacy/security.

We ensure our suppliers have sufficient controls to protect data in accordance with M3UA Information Security Policy’s and applicable laws.

Changes to M3UA’s Privacy Policy?

We keep our privacy policy under regular review.  Any substantial changes to the way in which we process personal data will be notified by posting an announcement on our website.
